Workshop Terms & Conditions

These terms were changed on the 24th of August 2025

Where to find information about us and our services

You can find everything you need to know about Tesni Ward Photography (Tesni), and our services on our website before you order. We also confirm the key information to you in writing  after you order, either by email, or on paper.

Bookings and Deposits

A booking is only confirmed, and a binding contract formed, when we send you written confirmation of acceptance. A non-refundable deposit is required at the time of booking. By paying the deposit or full balance, you agree to be bound by these terms. If a third party pays on your behalf, they will also be jointly responsible under this contract.

Changes to Bookings

We reserve the right to make amendments to the itinerary of any scheduled workshop. In the event that an amendment substantially alters the itinerary of a workshop, you will be notified and offered a choice of:

  1. Accepting amendment;
  2. Booking a place on an alternative workshop (any overpayment will be refunded);
  3. Withdrawing from the contract and accepting a full refund of any money paid.

Sometimes we reject bookings

Sometimes we reject bookings, for example, because a credit reference we have obtained is unsatisfactory, because we can’t verify your age (where the service is age-restricted), or because the service was mispriced by us. When this happens, we let you know as soon as possible and refund any sums you have paid.

Sometimes we cancel or postpone bookings

We reserve the right to cancel or postpone any workshop or trip should it not be deemed viable for any reason, You will be notified and offered a choice of either:

  1. Booking a place on an alternative workshop (any overpayment will be refunded);
  2. Withdrawing from the contract and accepting a full refund of any money paid.

Some workshops require a minimum number of participants to go ahead. If this number is not met, we will notify you in advance and offer a rescheduled date, credit, or full refund.

Flexibility – We can change services and these terms

Changes we can always make. We can always change a service:

  • to reflect changes in relevant laws and regulatory requirements  and
  • to make minor  adjustments and improvements, These are changes that don’t affect your use of the service
  • We endeavour to follow the advertised itinerary but with many variables including weather, wildlife behaviour and availability , you accept that a reasonable amount of flexibility will be required with the itinerary. A workshop description is an indication of what is likely to take place at that workshop and not as a contractual obligation to provide the exact details of the description

We charge you when we accept your booking

We charge interest on late payments

If we’re unable to collect any payment you owe us we charge interest on the overdue amount at the rate of 2% a year above the Bank of England base rate from time to time. This interest accrues on a daily basis from the due date until the date of actual payment of the overdue amount, whether before or after judgment. You pay us the interest together with any overdue amount.

We pass on increases in VAT

If the rate of VAT changes between your booking date and the date we supply the service, we adjust the rate of VAT that you pay, unless you have already paid in full before the change in the rate of VAT takes effect.

Acknowledgement of risk

Outdoor photography can be physically strenuous and involves walking on uneven terrain, in varying weather, and sometimes in remote areas. By booking with us you acknowledge these risks and agree to take responsibility for your own safety while following our guidance. We are not liable for injury unless caused by our negligence. Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability which cannot be excluded under UK law. We strongly recommend that you take out appropriate insurance (including medical, accident and travel cover for multi-day tours).

Health and Fitness

By booking with us you confirm that you are in good health and physically capable of participating in outdoor photography activities. You must let us know in advance of any medical conditions, disabilities, or requirements that may affect your participation. We may require written medical confirmation where appropriate. Participants under the age of 18 must be accompanied by a responsible adult at all times. The adult will remain responsible for the minor’s conduct and safety during the workshop. By booking on behalf of a minor, you confirm you have parental authority or consent. We reserve the right not to accept unaccompanied participants under 18

Wildlife sightings

Wildlife is unpredictable and cannot be guaranteed. Your booking fee covers our time, expertise, and guiding services regardless of sightings. As a goodwill gesture, if conditions are exceptionally poor, we may offer a discounted return workshop (typically 50%). This is discretionary and not a contractual right.

Multi-day tours

Unless expressly stated otherwise in your booking confirmation, you are responsible for arranging your own travel to and from the meeting point, meals, insurance, and personal equipment. Where accommodation or meals are included, this will be set out clearly in the booking details.If you have booked a multi-day tour you must hold comprehensive travel insurance covering cancellation, medical expenses, and personal belongings. This is a condition of participation to protect you against risks beyond our control. We may ask for evidence of insurance before travel.If a tour is cancelled or curtailed due to circumstances beyond our reasonable control (for example, extreme weather, natural disasters, illness, government restrictions), we will offer to reschedule your booking or provide a credit note. Refunds will only be offered if rescheduling or credit is not possible.
